Introduction to Deskie & this knowledge base

Deskie is workspace management software built by coworking operators. It runs the day-to-day of your space so you can focus on members instead of juggling tools.

This knowledge base is your manual for Deskie: short, practical answers to "how do I?" questions.

How to use this knowledge base

  • Search first. Use the search bar at the top for what you re trying to do:

    • add a member, set up plans, charge late fees, book conference room, etc.

  • Or browse by category. Articles are grouped around how you actually run your space (operations, communication, billing, etc.), not around our internal tech.

  • Follow the steps. Most articles are designed as quick procedures: what it s for, what you need, then step-by-step actions and related links for deeper detail.

If an article ever feels long, you can usually skim the headings and screenshots and still get what you need.

How things are organized

You’ll see these main sections in the left sidebar:

  • Getting Started - The basics of Deskie: navigation, adding members, setting up assets (offices, desks, plans), and creating bookable resources like conference rooms and passes.

  • Daily Operations - Everything you touch often: assignments, check-ins, bookings, invoices, tasks, and other routine workflows.

  • Communication - Announcements, messages, feed posts, and anything related to talking with members through Deskie.

  • Billing & Payments - Connecting payments, invoices, recurring charges, refunds, credits, and financial reports.

  • Mail - Virtual mailboxes, handling mail items, and workflows for scanning, forwarding, and pickups.

  • Assets & Resources - Managing offices, desks, equipment, and bookable spaces; who’s using what and when.

  • Customization - Branding, plans, permissions, and other settings that shape how Deskie fits your specific space.

  • Support - How to contact us, report issues, and see what’s new.

General rule of thumb: things are probably exactly where you’d expect them to be. If something feels “in the wrong place,” let us know! We’ll likely adjust the structure so future operators find it faster.

What you'll find in each article

To keep things consistent and easy to skim, most articles follow the same pattern (because that’s what works best in effective knowledge bases).

  • What this does - One-sentence summary of the outcome.

  • When you’d use it - The real-world coworking scenario.

  • Before you start - Any prerequisites (permissions, settings, connected payments, etc.).

  • Steps - Numbered, screenshot-backed instructions.

  • Related articles - Links to the next logical thing you might need.

You shouldn’t need to read twice to get it.

Where to start if you're new

If this is your first time using Deskie:

  1. Read this Introduction. (Done.)

  2. Go to Navigating Deskie to learn the layout.

  3. Set up your space with Adding Members, Adding Assets, and Adding Resources in that order.

  4. Then jump into Daily Operations to see how billing, bookings, and day-to-day workflows fit together.

Final thoughts

Deskie exists because running a coworking space on clunky tools is painful. This knowledge base is part of our commitment back to the industry: clear docs, real examples from actual spaces, and updates driven by the questions operators ask most often.

If you can’t find an answer, tell us. If something feels confusing, we’ll fix the article - not ask you to work harder to understand it. If you can't understand Deskie, we'll fix the workflow.
