How the booking system works, managing reservations, and handling conflicts.

How bookings work

Members can book available resources through their member portal. They select a resource, choose a date and time, and confirm. The booking is immediately reflected across the system — no double-bookings are possible.

Booking calendar

The Bookings section shows all reservations in a calendar view. You can switch between day, week, and month views. Click any booking to see details, or click an empty slot to create a new booking on behalf of a member.

Admin overrides

As an admin, you can create, modify, or cancel any booking. Need to block off a meeting room for maintenance? Create an admin hold. Need to move a booking? Drag and drop it to a new time slot.

Booking rules

Configure rules per resource:

  • Advance booking window — How far ahead members can book (e.g., 14 days)
  • Duration limits — Minimum and maximum booking length
  • Cancellation policy — How close to the start time members can cancel
  • Buffer time — Automatic gap between bookings for cleanup
